Charter School Staff Account Process

Hire

  1. Charter fills out Frontline (HR) form which starts Workflow 
    1. Student Information Systems (SIS) team (dtsacctman-gropup@svvsd.org)
      1. Researches previous employment
      2. Verifies unique username
      3. Assigns employee ID and adds employee to spreadsheet
      4. Creates account in IC and grants access based on position
      5. Creates an DTS ticket in the Charter Accounts queue
        1. Email sent to charter requestor automatically
      6. Workflow which sends email to new employee
    2. New Employee
      1. Verifies data accuracy 
      2. Accepts terms of use
      3. Workflow email to SIS team and Charter
    3. Student Information Systems team
      1. Reassigns DTS ticket to SysAdmins
    4. SysAdmins
      1. Creates AD account and sets initial password
      2. Creates Google account, if required
        1. If previous SVVSD employee, and email is no longer needed, remove user from Google security groups
      3. Closes DTS ticket
        1. Email sent to charter requestor
    5. Charter
      1. Inform new employee account is ready

Termination

  1. Charter fills out Frontline (HR) form which starts Workflow
    1. Student Information Systems team (dtsacctman-group@svvsd.org)
      1. Researches future employment
      2. If employee will not be working at another district or charter school
        1. Creates a DTS ticket
        2. End-dates employee in Infinite Campus and spreadsheet
        3. Assigns ticket to SysAdmins
    2. SysAdmins
      1. End-dates AD account
      2. Closes DTS Ticket
