PII with Google Drive Sharing - Best Practices

What is PII?

PII is any information about an individual that can be used to distinguish or trace an individual‘s identity, such as name, social security number, date and place of birth, mother‘s maiden name, or biometric records; and any other information that is linked or linkable to an individual, such as medical, educational, financial, and employment information.

Google Drive Share & PII

Take extra precaution to not share PII data with the entirety of the St. Vrain Valley School District organization. When sharing information with Google Drive Share, confirm the ‘Link Sharing Options’ are set to ‘Restricted’, then choose your target share audience accordingly. And also do not select, “Anyone with the link”. This will ensure the Google Drive share reaches only the intended audience.

Example:

When sharing files or folders from Google Drive, confirm the ‘Link Sharing Options’, are set to ‘Restricted’.  
Share with target recipients using the field, “Share with people and groups”.
